Records Paralegal/Administrator – London/Oxford/Brighton/Bristol/Manchester Office

We are currently looking for a dynamic individual to work within a team processing all aspects of patent, trade mark and design formalities, maintenance of electronic case records, liaising with clients on records related matters and working with foreign attorneys.

Main Responsibilities:

  • Creating and ensuring accuracy and completeness of new Inprotech (the firm’s IP management system) case records, requesting client credit checks, capturing deadlines and case information from client instructions and making use of on-line registers provided by Intellectual Property offices, such as the EPO to check that the data supplied by the client matches the respective register and acknowledgement of client instructions
  • Reviewing and identifying from incoming hard copy and electronic correspondence/information received from foreign associates and clients any due dates, events and changes in the status of cases e.g. publication, grant/registration, opposition/refusal/revocation, official actions, deadlines and updating Inprotech with same
  • Handling filings and updating Inprotech, with filing details, completion reminders, processing official communications, publications, fee payments, grants and certified copies relating to patent, design and trade mark applications
  • Generating and sending out all standard correspondence, such as reporting letters.
  • Monitoring the critical due date list and liaising with Fee Earners ensuring that they are aware of due dates which require their action on that day
  • Ad-hoc duties to include any other tasks which may be required in order to complete the role to a high standard.

Desirable skills/knowledge/experience:

  • Knowledge of Inprotech (records system application)
  • 4+ years working within a Records or IP department
  • Strong knowledge of EP and UK patent and trade mark processes

Qualifications (desirable but not essential):            

  • CIPA Patent Paralegal Course
  • CITMA Trade Mark Administrators Course
